How to Write a Resume: Step-by-Step Guide
Follow a practical resume-writing process, from choosing sections and writing achievement bullets to tailoring your resume and checking the final document.
Choose the target job before writing
Start with one target role and a real vacancy. Identify the responsibilities, required skills, tools and qualifications that appear most important. A resume written for every job usually gives the reader less relevant evidence.
Write the resume in a clear order
- Add name and contact details. 2. Write a concise summary only if it adds context. 3. Put experience or projects where they are easiest to evaluate. 4. Add education, relevant skills and certifications. 5. Check dates, links and consistency. Reorder sections to emphasize your strongest evidence.
Use sections that answer recruiter questions
Include the sections that support your application: contact information, summary, skills, experience, projects, education and relevant certifications. Do not add a section merely to fill space. For each entry, make the relevance to the target role clear.
Turn work into evidence
Use action + task + method + result. For example: “Automated weekly data cleanup with Python, reducing manual checks from 90 minutes to 20 minutes” is useful only if the result is true. When you cannot quantify an outcome, state the scope or deliverable clearly.
Keep formatting readable
Use standard headings, consistent dates, a legible font and a clear reading order. Keep key details as selectable text, not embedded in images. Follow the employer’s requested file type and inspect the exported PDF or DOCX before sending.
Tailor the document to the vacancy
Match relevant wording from the job description only when it accurately describes your skills. Move the strongest matching evidence toward the top. Do not add tools, responsibilities or achievements you cannot explain in an interview.

Accuracy and ATS limits
ATS tools differ. A simple, text-based layout improves readability but cannot guarantee a score, interview or job offer. Never invent metrics, qualifications or experience. Use the employer’s instructions when they conflict with generic advice.
Make the resume easy to verify
A strong resume helps a reviewer quickly find relevant evidence and then verify it through a project, portfolio, work sample or interview. Clarity and credibility matter more than decorative language.
Improve from real feedback
After applying, track the role, resume version, date and response. If applications receive no response, review role fit and evidence before changing keywords. If interviews happen but do not progress, practice explaining projects and answering role-specific questions.
